Refund policy (updated July 2024)
In-person conferences
Running our in-person conferences requires us to make significant financial commitments in advance to the conference center, catering, instructors and more. When an attendee cancels an in-person event, we still need to pay most of these expenses for them, which is why we cannot offer a full refund.
Outside of 90 days of the start of the event:
If your plans change outside of 90 days of an in-person conference and you can no longer attend, you will receive a 50% credit toward a future in-person or online conference.
Within 90 days of the start of the event:
Within 90 days of the start of the conference we cannot offer a credit. At this point we have fully committed to paying the conference center, catering, instructors and more. We strongly encourage you to purchase travel insurance to cover your travel and cost of the conference in the case of an unexpected change in plans.
Online conferences
There are no refunds for our online conferences. If you are unable to join us live for the event, you may stream the conference recordings for 12 months following the event.
In-person conferences
- Approximately 30 days before an in-person event, you will be required to sign a Release and Waiver of Liability form and a Photo and Video Release form.
- Conferences will run rain or shine. In the case that a field session is not possible due to weather, instructors will replace the field session with an indoor session.
- In the event of a cancellation from an instructor, Out of Chicago will replace them with a similar instructor.
- If an event does not have enough attendees to run an event, Out of Chicago reserves the right to cancel the event and fully refund participants.
Q: What if I get sick or injured and cannot attend the conference? What if there is a family emergency and I cannot attend?
A: This is why we recommend that you purchase travel insurance. You never know what may happen right before or during an event that keeps you from participating.
Q: What travel insurance do you recommend?
A: We are not affiliated with any travel insurance companies and do not offer travel insurance through Out of Chicago, but we recommend AIG Travelguard and Allianz Travel. There are several travel insurance companies that you can compare to fit your needs. Check the exclusions on your policy to be sure that your policy covers what you need. Not all policies will cover you if you get Covid or need to change plans because of a family emergency.
Q: When should I purchase travel insurance?
A: The best time to purchase travel insurance is when you book your travel and know the full cost of your trip, but you can purchase travel insurance any time before the start of your trip.
